1. Background
This privacy notice applies solely to the collection and use of personal information on, through, or related to official University of Maryland College Park (UMD) Maryland Applied Graduate Engineering ("MAGE") websites. This notice describes what personal information is collected, our basis for collecting it, how that data is used, secured, and disclosed, certain rights that you may, and how you may contact us with privacy-related questions or requests. Any updates or changes to this privacy notice with be posted to this site.

Links to third-party websites are provided for convenience only and should not be interpreted as endorsement or ownership of content or policies. MAGE encourages website users to review the privacy policies of each website they visit.

2. What kinds of personal information about you do we process?

Generally, MAGE does not automatically collect the identity of individual users of or visitors to its websites.

For marketing and advertising purposes, MAGE may collect personally identifiable information, provided voluntarily by you, including name, email address, phone number, and mailing address. Disclosing personally identifiable information via our website is not mandatory. If individuals choose not to disclose their personally identifiable information, they will not receive information from us unless they reach out to our office directly via email, phone call, or in-person visit. For current students and alumni, MAGE may collect personally identifiable information, provided voluntarily by you, including name, email address, UMD ID number, degree program, and in some instances, an unofficial transcript of courses taken.

3. How we collect, use, and secure Personal Data:

Data Collection Forms
MAGE’s websites allow users to request information about specific degree programs using electronic forms which collect necessary personal information such as first and last name, email address, phone number, and mailing address. This information is provided voluntarily and can be inspected and updated at a user’s request.

Advertising
MAGE uses digital advertising on other websites and search engines which measure performance and user behavior as it relates to those ads. Third parties, such as Google, Facebook, and YouTube, show MAGE ads to various audiences. These third parties then provide data to MAGE which helps us evaluate performance and assess user interactions before, during, and after visiting an MAGE website. To do so, MAGE places tags or pixels on its websites to capture information and inform interest-based advertising. In some instances this data may be correlated with user information submitted voluntarily through MAGE data collection forms to determine the effectiveness of advertising tactics.

Student Information
In some instances we collect personal data from our students to help them with their progress towards completing their degree program, as well as from alumni who chose to share with us how the degree program has benefitted them. For current students, we use personal data for enrollment management purposes including course approvals, processing proctoring information, and in some instances travel grant scholarship applications. For alumni, with their permission, we use data provided to us for marketing and advertising purposes. Personally identifiable information about enrolled students is protected by the Family Educational Rights and Privacy Act (FERPA), administered by the U.S. Department of Education.

Unless otherwise notified, information provided to MAGE may be shared among offices within UMD and with the University System of Maryland and outside entities as necessary or appropriate in the conduct of legitimate university business and consistent with applicable law. Because UMD is a State educational institution, such information may also be subject to disclosure under the Maryland Public Information Act (Public Information Act). Individuals may inspect and/or correct their personal information as provided by law or applicable university policy.

Security
Data is processed through a secured HTTPS website over an encrypted connection, and stored within UMD’s CRM and information systems. Submitted data is accessed internally only by authorized MAGE and UMD persons. UMD and the MAGE will take reasonable and appropriate steps to protect the information you share with us from unauthorized access or disclosure. We strive to implement security measures that protect the loss, misuse, and alteration of data collected. Not all transmissions to and from MAGE websites are secure; some website pages may not encrypt or decrypt data sent to or from the website. In addition, email messages sent to UMD email addresses are subject to interception. Please contact us by telephone or postal mail, provided below, if you do not wish to provide personal information electronically. Submitted data is accessed internally only by authorized MAGE and UMD personnel.

4. Disclosure and description of use of Cookies:

The MAGE websites, Google Analytics, and selected third-party online advertising networks store small fragments of text, called “cookies,” in the visitor’s web browser with limited information, such as how the visitor was directed to the website. We use these cookies to measure and optimize the performance, functionality, and content of our websites. Please review your Internet browser’s instructions on rejecting or deleting cookies, if desired. Please note, however, that some websites and applications that use cookies may not function properly or may provide less relevant information if cookies are rejected or deleted.

5. Legal basis:

The MAGE’s legal basis for collecting, using, and sharing your personal data (as described in this notice) is that it is necessary for the performance (or preparation for a performance) of a contract between you and the MAGE. However, our use of certain categories of information, such as information concerning your health or information used for marketing purposes, may be based upon your consent. In such cases we will request your active consent, and you may withdraw your consent by contacting us as described below. 

6. Do we share your personal information with other organizations? If so, when, and to whom?

Unless otherwise notified, information provided to the MAGE may be shared among UMD offices and with the University System of Maryland and outside entities as necessary or appropriate in the conduct of legitimate UMD business and consistent with applicable law. 8. What about automated decision making?

In some instances, for the purpose of supporting user’s interest in learning more about our graduate engineering programs, the MAGE may use personally identifiable information to make automated decisions. For instance, in certain circumstances, international prospective students may receive targeted emails regarding the international admissions process. Such messages are filtered using personally identifiable information based upon the user’s country.

9. Data retention and destruction:

10. A description of your rights, if your Personal Data is regulated by GDPR:

If you are a resident of the European Union (“EU”) or the European Economic Area you may have certain additional rights with respect to your personal data as provided by Articles 15-22 of the EU’s General Data Protection Regulation (“GDPR”). These rights include:

  • The right to request access to your personal data held by us.
  • The right to have your personal data rectified if it is inaccurate or incomplete.
  • The right to erasure of personal data; provided, however, that this may occur only in those rare circumstances where UMD has no legitimate reason to continue to hold/process that data, including legitimate reasons such as defense of legal claims. UMD generally must maintain basic student records and some employment records indefinitely.
  • The right to restrict processing of your personal data in certain situations.
  • The right to data portability. EU residents may request in digital form those portions of personal data regarding them that pertain to their role at UMD.
  • The right to withdraw consent in those circumstances where the processing of your personal data is based upon your consent.
  • The right to report a concern regarding our processing of your personal data by contacting us, as provided below, with information describing the concern.
